Welcome to NxtGen POS (“we”, “our”, or “us”). This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Point of Sale mobile application (Android), web portal, and associated cloud services (collectively, the “Services”).
We are committed to maintaining the privacy, confidentiality, and security of all commercial merchant data and end-customer payment records processed through our platform.
2. Information We Collect
We collect the following categories of information to provide and improve our POS Services:
- Merchant Account Information: Name, business name, registered email address, phone number, physical store locations, and login credentials.
- Transaction & Sales Data: Items sold, pricing, tax amounts, inventory deductions, payment method (cash, card, QR, or digital wallet), timestamps, cashier shift IDs, and order identifiers. Note: We do not store full payment card numbers (PANs) or card CVV/CVC codes on our devices or servers. Card payments are processed through PCI-DSS certified payment processors.
- Inventory & Catalog Data: Product names, SKUs, barcode numbers, prices, cost of goods, categories, supplier details, and stock counts.
- Device & Operational Diagnostics: Device model, operating system version, IP address, hardware IDs for terminal licensing, app performance metrics, and crash logs.
3. Android Device Permissions
To provide point-of-sale functionality on mobile terminals and tablets, the NxtGen POS Android app may request the following device permissions:
Bluetooth / Nearby Devices
Used strictly to discover, pair with, and transmit print commands to thermal receipt printers and wireless payment terminals.
Camera
Used exclusively for scanning product barcodes, QR payments, and digital customer loyalty codes. No photos are stored.
Location
Required by Android OS for discovering nearby Bluetooth Low Energy (BLE) hardware peripherals and terminal geo-fencing.
Local Storage / Cache
Used to securely cache product catalogs and offline sales records until network connection is restored.
4. Offline Mode & Data Synchronization
NxtGen POS features an offline-first architecture. When operating offline:
- Sales transactions are stored encrypted in the local SQLite database on your device.
- Receipts and local cash movements continue to function normally.
- Once internet connectivity is re-established, the app automatically synchronizes all pending batches to our secure cloud servers and removes cached operational tokens.
5. How We Use Your Data
We use the collected information solely for legitimate commercial purposes:
- Processing transactions and generating printed/digital receipts
- Synchronizing inventory balances across multiple registers and branch locations
- Providing analytics, sales reports, and end-of-day drawer reconciliation
- Delivering software updates, critical bug fixes, and security patches
- Preventing unauthorized access, cashier discrepancies, and commercial fraud
We never sell, rent, or monetize your business or customer data to third-party advertisers.
6. Security & Data Protection
We implement industry-standard administrative, physical, and technical safeguards. All data exchanged between the NxtGen POS mobile app and our servers is encrypted in transit using Transport Layer Security (TLS 1.3). Stored records are safeguarded behind role-based access controls and encrypted databases.
7. Account & Data Deletion Requests
In compliance with Google Play's User Data policy, users and merchants have the right to request the permanent deletion of their account and associated personal data at any time.
How to Request Account & Data Deletion:
- In-App: Log in to your NxtGen POS mobile app or back-office portal, navigate to Settings → Account Profile → Request Account Deletion.
- By Email: Send an email from your registered merchant address to support@nxtgenpos.com with the subject line “Account and Data Deletion Request”.
What Happens Upon Request: Your user profile, employee credentials, and personal identifiers will be permanently deleted within thirty (30) days. Historical fiscal/tax records required under commercial tax laws will be retained in anonymized format solely for legal compliance.
